Most of us may believe that 'Google Docs' is synonymous with 'Microsoft Docs'; simply a document creation software application.

Well, hopefully those nice people down at Google would forgive us our mistake and inform us Google Docs is a whole suite of applications that does actually include a document creation application and many other useful applications. 

What is different about Google Docs is the software package is available for online use only. (Yes I know nice people you can work on your files offline as well, but that is an add-on to the general idea).

As computers have been around now for more than a few decades and as people have used and worked through them they have learned like everything in life what we like, what we can manage without and what is essential. One of the big issues with running a business with even a handful of employees is the duplication created and time wasted with employees working on the same document from different locations. Add to this the cost of buying and maintaining software licences and the extra work needed to upgrade programmes and a business can spend more time maintaining itself rather than producing its product.

This is where Google Docs comes in; they do it by running a set of servers containing software application packages beneficial to businesses. They then charge you for the use of their applications and store your files. The software becomes available through any computer with an internet connection.

• No need to maintain the updates and patches or maintain the servers.

• Only one copy of the document exists and it is safely stored on the server. Anyone authorised can access and update or edit the document. Most businesses have experienced the duplication of documents; who has the most up to date one, who changed it etc.

• The document can be worked on from any location with access to the internet. The infuriating scenario of a document stuck inside a locked PC springs to mind.

• Employees can collaborate on the same document from different locations.
